Name digital files so the collection can be understood

A useful filename works alongside a description.

The historical context

The Library of Congress’s personal-archiving guidance encourages descriptions and organisation for digital photographs. A football collection benefits from names that help identify its contents without relying on one person’s memory. Keep the original file and source information when creating a renamed working copy or a derivative for display.

A clearer way to read the evidence

Use an inventory to record confirmed people, events, dates and uncertainties. A filename alone should not carry every detail, especially when an attribution remains unresolved. Consistent descriptions make the collection easier to search and review. They also give future corrections a place to live without requiring the original evidence to be silently overwritten.

Keep in your notes

  • Retain original source information.
  • Use consistent descriptive names.
  • Keep uncertainties in the inventory.
